TITLE: Executive Assistant


The Executive Assistant performs a variety of administrative tasks to support the company’s three-member Senior Executive Team. The position will manage mostly business-related tasks for the team such as managing individual and office calendars, organizing travel and accommodation, taking minutes, and other organizational tasks. Other responsibilities include general office management tasks related to ensuring a safe, efficient, and productive work environment for all team members. To succeed in this role, applicants should be skilled in business writing, possess a detailed understanding of the full Microsoft Office suite, be efficient at solving problems, display a collaborative attitude, and have experience as an executive or administration assistant.


• Process and handle all correspondence; this would include mail, faxes, scanning, filing and any other internal documentation.

• Screen all telephone calls: answering questions as need and taking efficient and meaningful messages.

• Manage calendars of the Senior Executive Team.

• Maintain employee and office schedules, including holiday planning and room schedules.

• Organize office related activities, including milestone celebrations, retirements, or other office events as assigned.

• Originate correspondence and other paperwork for Senior Executive Team and President

• Maintain both physical and computer-based filing systems.

• Arrange travel, accommodations, and related requirements for the Board of Directors meeting(s), Committee Meetings, Senior Executive Team, and President.

• Maintain database of committees and Board of Directors.

• Supervise the Receptionist position and arrange for any temporary staffing needs.

• Manage cleaning crews, building repairs, landscaping contractors, or other contracted labor that relates to office repair, upkeep, or maintenance.

• Take meeting minutes and/or coordinate minute taking at Board Meetings, Executive Committee Meetings, and other committee meetings as assigned.

• Manage VIP ticket requests and organize VIP hospitality at events.

• Maintain a follow-up file for the Senior Executive Team, prepare reminders daily and prior to critical events or meetings.

• Collaborate with Board to ensure various trainings, onboarding, etc. are complete.

• Assist with ensuring appropriate information is posted on the website.

• Assist with various reporting requirements.

• Other duties as assigned.


• Must be able to successfully pass a USA Wrestling background screening (prior to hire date).

• Must successfully complete SafeSport Certification within two weeks of hire date.

Hiring Pay Range

$45,000-60,000 per year depending on experience.
